RSVP and Attendance Tracking

To correctly track RSVPs and attendance for children—not parents—you must use Team App’s parent/child functionality. This ensures that event lists, attendance screens, and reports show only the child participants, while still giving parents the ability to respond and receive updates.

Below is the complete setup process.


1. Add Children to Your Members List

You can add children:

Option A: One-by-One

  • Go to Members

  • Add each child individually

  • Email addresses are optional for children

Option B: In Bulk (Recommended)

  • Go to Website Dashboard → Members → Bulk Import

  • Select the YOUTH CSV template

  • Import children and guardians in one step

  • This method will not duplicate existing guardian accounts


2. Add Guardians to Each Child

Once a child is in your member list:

  1. Click the child’s profile

  2. Select + Add Guardian

  3. Add one or more guardians

Guardians linked in bulk via the YOUTH template will retain existing accounts without duplication.

What Guardians Receive

  • Notifications relevant to the child’s access groups

  • RSVP alerts

  • Attendance updates

  • Event messages


3. Assign Guardian Privileges

Each guardian can be set as:

Primary Guardian

  • Can RSVP and respond on behalf of the child

  • Can manage the child’s availability

  • Has full visibility to event details

Non-Primary Guardian

  • View-only

  • Cannot submit RSVPs or availability

  • Still receives content and notifications


4. Keep Only Children in Your Access Groups

To ensure clean attendance and RSVP lists:

  • Only children should be added to event-related access groups

  • Parents must not be members of these groups

This ensures:

  • RSVP lists show child names only

  • Attendance tracking matches your roster

  • Reporting is accurate

Managing Access Groups in Bulk

You can add or remove parents and children from access groups via:

Dashboard → Members → Bulk Edit Members


5. How Parents Interact in Chat and Events

  • Guardians can join all chat rooms linked to their child’s access groups

  • They appear under their own names, so other parents know who they are speaking to

  • Guardians cannot view private chats between children and other users

  • They can receive and respond to event messages and reminders
