Managing Parents and Children on Team App

Team App supports a full parent–child structure, allowing guardians to receive notifications, respond on behalf of children, and participate in chat and events. Below is a complete guide on how to set this up and manage it effectively.

1. Adding Children to Your Member List

You can add child members in two ways:

Option A: Add One-by-One

  1. Go to the Members list

  2. Select the child’s profile

  3. Click + Add Guardian

  4. Add one or more guardians to the child

Option B: Add in Bulk (Recommended for Teams)

  1. Go to Website Dashboard → Members

  2. Click the three dots (⋮) menu

  3. Select Bulk Import

  4. Use the YOUTH CSV Template

    • This template allows you to import both children and guardians, including their alignments

    • Guardian accounts will not be duplicated

    • A single guardian may be aligned to multiple children

2. Primary vs Non-Primary Guardians

You can assign different permission levels:

  • Primary Guardian

    • Can respond to RSVPs on behalf of the child

    • Can interact fully with events and notifications

  • Non-Primary Guardian

    • Has view-only access

    • Cannot RSVP or respond on behalf of the child

These settings can be edited in each child’s member profile.

3. Managing Access Groups for Children and Parents

To ensure accurate attendance, RSVPs, and team visibility:

  • Only add child members to Access Groups

  • Guardians automatically receive:

    • Notifications for access groups their children belong to

    • Visibility to content relevant to their child

Editing Access Groups in Bulk

  1. Go to Website Dashboard → Members

  2. Open Bulk Edit Members

  3. Add or remove parents from access groups as needed

4. How Parents Participate in Chat

  • Guardians automatically gain access to chat rooms linked to their child’s Access Groups

  • In chat rooms, guardians appear under their own names

  • They can also participate in private chats

This keeps communication clear and ensures that guardians can stay connected without being listed as players.

Summary

✔ Add children individually or via YOUTH bulk import
✔ Align multiple guardians to a child
✔ Assign primary or non-primary guardian rights
✔ Keep only children in access groups for clean attendance lists
✔ Guardians receive notifications and can join chats for their child’s groups
