How does the Parent/Guardian option work when joining an Access Group?
When joining a Youth Club, parents and guardians can identify the children they are associated with when requesting access to an Access Group.
It is important to note that entering a child’s name during the join request does not automatically create a new child member.
When the child is already a member
When submitting a request, the parent can:
- Select Parent/Guardian or Family/Friend.
- Enter the name of their child or children.
- Submit the Access Group request.
The children’s names are provided to the Admin as part of the request.
The Admin can then select the matching children from the club’s existing members. Once the request is approved:
- The selected children are added to the Access Group.
- The children are linked to the parent/guardian.
- The parent does not need to be added to the child’s Access Group.
What if the child is not already a member?
If the child does not yet have a member profile within the Team App, entering their name in the parent’s request will not create one automatically.
An Admin will need to:
- Go to the club’s member management area.
- Select Add More Players.
- Create the child’s member profile.
- Return to the parent’s Access Group request.
- Select the newly created child.
- Approve the request.
This will allow the child to be added to the appropriate Access Group and linked to their parent/guardian.
What happens with auto-approved Access Groups?
If an Access Group is configured for automatic approval, the parent’s request is completed immediately.
The children’s names provided during the request will remain associated with the parent’s profile, but the children are not automatically created or linked. An Admin will need to manually create the child profiles if required and complete the parent/child linking afterwards.
Important
Adding a child’s name to a Parent/Guardian join request is designed to help Admins identify and link existing child members. It is not a child-member creation process.
